Description

 

The City of Richmond Department of Public Utilities is currently seeking qualified candidates for two (2) Administrative Technician, Senior positions to support the Customer Service Division (CSD). This position will operate within a matrix reporting environment, requiring the individual to support multiple senior managers and teams across the Customer Service Division. 

 

Duties include but are not limited to

 

  • Coordinate meetings, appointments, and events 
  • Maintain and organize files, documents, and correspondence ensuring easy and appropriate access as needed.
  • Gather and explain technical and procedural information related to program services and policies
  • Produce/prepare a variety of documents from rough drafts, notes, and oral instructions for management staff, and route for electronic signatures when applicable.
  • Handle sensitive and confidential information with discretion.
  • Prepare and manage reports, presentations, and spreadsheets with a high level of accuracy.
  • Take detailed minutes during meetings and distribute to attendees promptly.
  • Plan and coordinate events for the CSD and across DPU.
  • Book flights, accommodations, and transportation for CSD staff, and reconcile trip expenses.
  • Answer and direct phone calls, respond to emails, and handle inquiries from employees, customers, and other key stakeholders.
  • Order and maintain office supplies, staying within budget.
  • Ensure meeting spaces are properly maintained.
  • Assist with special projects as needed.

 

Qualifications, Special Certifications and Licenses

 

MINIMUM TRAINING AND EXPERIENCE:

  • High School Diploma or GED
  • Three years of related clerical or office support experience.
  • An equivalent combination of training and experience (as approved by the department) may be used to meet the minimum qualifications of the classification

 

LICENSING, CERTIFICATIONS, and/or OTHER SPECIAL REQUIREMENTS:

  • A Notary Public designation may be required for some assignments.

 

PREFERRED TRAINING AND EXPERIENCE:

  • Strong organizational, problem solving and interpersonal skills
  • Intermediate proficiency with the Microsoft suite of products
  • Excellent written and verbal communication skills
  • Analytical with a strong attention to detail

 

KNOWLEDGE, SKILLS, AND ABILITIES:
TYPICAL KNOWLEDGE, SKILLS, AND ABILITIES: These are a representative sample; position assignments may vary.

This position requires considerable computer proficiency, including Microsoft Outlook, Word, Excel, PowerPoint and Teams. Must possess the ability to think strategically, manage time effectively, multi-task, and problem solve. This position will demonstrate excellent customer service to internal and external customers across all levels and expected to take initiative to learn new skills, trends, and changes in the field, or technical knowledge and effectively conveying that knowledge. Must write and communicate effectively with internal and external customers at all levels. This position will be able to support a team/staff and work independently in a fast-paced environment with minimal supervision. Must be able to handle confidential information with discretion.

The essential duties of this classification may require the ability to regularly work with one's fingers, talk, hear, see, and use repetitive motions; frequently walk; and occasionally stoop, crouch, crawl, reach, stand, push, pull, lift, grasp, and feel. In terms of the physical strength to perform the essential duties, this classification is considered to be sedentary (exerting up to 10 pounds of force occasionally, and a negligible amount of force frequently or constantly to move objects), but may differ based on area of focus. The working conditions may contain environmental hazards, depending on area of focus.
