Description

 

The City of Richmond Police Department is seeking a highly qualified and experienced candidate for the position of Administrative Technician, Senior within the Office of Legal Affairs. The selected candidate for this vital role will provide support for the entire Office of Legal Affairs and will be responsible for drafting and tracking legal correspondence between outside law firms, the City Attorney’s Office, the Commonwealth Attorney’s Office and the U.S. Attorney’s Office. The selected candidate will also be responsible for tracking lawsuits, contracts, FOIA (Freedom of Information Act) requests and subpoenas duces tecum. This Administrative Technician, Senior will facilitate the creation of necessary files and perform updates within the records management system and will be responsible for redacting body worn camera footage. 

 

Duties include but are not limited to

 

  • Serving as liaison to the City Attorney by tracking civil investigations and claims;
  • Creating system and tracking memos of understanding (MOUs) and requests for legal opinions;
  • Creating and maintaining filing index system;
  • Tracking FOIA (Freedom of Information Act ) requests;
  • Processing SDTs (Subpoena Duces Tecum) and other incoming court documents;
  • Coordinating police officer court responses in civil matters;
  • Drafting and distributing correspondence;
  • Answering telephone and taking messages for Office of General Counsel staff;
  • Maintaining schedules/calendars of General Counsel staff;
  • Maintaining staff leave records, and audits/inspections of department divisions;
  • Preparing and submitting division purchase orders;
  • Processing invoices/payments;
  • Entering report information and maintaining various databases; and
  • Other duties as assigned.
This position is considered Essential Personnel, which means that the incumbent is required to work when the City is closed due to public emergencies, critical or hazardous conditions or inclement weather.
 
Successful completion of a thorough background investigation, including drug screen, are required.

 

Qualifications, Special Certifications and Licenses

 MINIMUM TRAINING AND EXPERIENCE:

  • High School Diploma or GED
  • Three years of related clerical or office support experience.
  • An equivalent combination of training and experience (as approved by the department) may be used to meet the minimum qualifications of the classification

The preferred candidate will have an Associate's or Bachelor's Degree in Business, Paralegal Studies or related field (or the equivalent in experience and knowledge, as approved by the department) and three or more years of paralegal, legal assistant or relative experience pertaining to legal support in an office.  

LICENSING, CERTIFICATIONS, and/or OTHER SPECIAL REQUIREMENTS:

  • A Notary Public designation may be required for some assignments. 
KNOWLEDGE, SKILLS, AND ABILITIES:
Thorough knowledge of the English language and grammar; experience with standard office equipment such as office machines, multi-line phone, computers, copier, fax, scanning machine, etc.; experience with software such as Microsoft Word, Excel, and Outlook; basic arithmetic calculations and mathematics; administrative and clerical procedures such as word processing, managing files and records, and designing forms; administrative and clerical procedures, and business principles.  Demonstrated skills entering data accurately; maintaining confidentiality; utilizing critical thinking and analytical skills to solve problems; exhibiting excellent customer service; communicating verbally and in writing.  Demonstrated ability following established procedures; paying attention to detail; working efficiently in a fast-paced environment; working independently with little supervision; working and supporting a team/staff; multi-tasking; using sound judgment and making important decisions; prioritizing multiple responsibilities and summarizing notes and requests in a concise manner.
