Description

 

The City of Richmond Department of Justice Services (DJS) is seeking a highly qualified, enthusiastic individual who wants to make an impact on the city and our community, to fill the position of Administrative Technician, Senior to provide skilled clerical and office support, administrative and automation (information technology) coordination, and process financial transactions, while focusing on great customer service. The incumbent in this position will provide skilled clerical and specialized administrative support to the Administration of the Richmond Juvenile Detention Center, which works closely with city agencies, community leaders, businesses and citizens impacted by community violence; and will also work with DJS’ central Finance & Administration division, which provides internal support functions to ensure a well-run department.   

Work requires independent decision-making for routine transaction processing in accordance with established rules, policies, and procedures. In addition to administrative support, incumbents may perform program and event logistics and customer support, including providing specialized program information. As assigned, work may include gathering, interpreting, and explaining technical and procedural information related to program services and policies; producing a variety of documents from rough drafts, notes, or oral instructions, or composing original correspondence; maintaining filing systems; scheduling meetings and events; making travel arrangements; data entry and spreadsheet maintenance; processing purchasing transactions, contracts, and other financial transactions such as accounts payable/receivable; processing payroll; and assisting DJS in fulfilling basic technology needs as it relates to interactions with the Department of Information Technology (DIT).

The Senior level of Administrative Technician performs duties requiring a higher level of difficulty, decision-making, complexity, scope of work, etc.  

 

Duties include but are not limited to

  • Performing skilled administrative support tasks such as scheduling meetings, trainings, or conferences; answering phones, forwarding messages, etc.  
  • Entering technical and specialized data
  • Ordering supplies
  • Maintaining databases, filing systems, charts, and spreadsheets to keep data and information up-to-date and organized
  • Processing financial transactions such as requisitions, purchase orders, vendor payments, depositing funds, procurement card purchases, reconciliations, etc.
  • Interacting with vendors 
  • Drafting/formatting memos, publications, information for news outlets, etc. for management review and approval
  • Composing meeting agendas and taking meeting minutes
  • Submitting basic financial reports, as necessary
  • Working closely with DJS central office finance & administrative team
  • Communicating with staff on behalf of Secure Detention Administration
  • Other duties as assigned

  • Exercised: This classification typically does not supervise other employees.
  • Received: This classification typically reports to a Director, Manager, Supervisor, Analyst, or Team Lead.
  • Note: Other reporting relationships may apply.

 

Qualifications, Special Certifications and Licenses

 

MINIMUM TRAINING AND EXPERIENCE:

  • High School Diploma or GED
  • Three years of related clerical or office support experience.
  • An equivalent combination of training and experience (as approved by the department) may be used to meet the minimum qualifications of the classification

 

LICENSING, CERTIFICATIONS, and/or OTHER SPECIAL REQUIREMENTS:

  • A Notary Public designation may be required for some assignments.

 

KNOWLEDGE, SKILLS, AND ABILITIES:

The essential duties of this classification may require the ability to regularly work with one's fingers, talk, hear, see, and use repetitive motions; frequently walk; and occasionally stoop, crouch, crawl, reach, stand, push, pull, lift, grasp, and feel. In terms of the physical strength to perform the essential duties, this classification is considered to be sedentary (exerting up to 10 pounds of force occasionally, and a negligible amount of force frequently or constantly to move objects), but may differ based on area of focus. The working conditions may contain environmental hazards, depending on area of focus.
