The Administrative Technician – Senior is a highly qualified individual who provides administrative and financial support to the Finance and Administration Division. The incumbent is responsible for performing clerical tasks, including responding to emails, answering phones, processing mail, and filing. Financial duties include check distribution, check deposits, creating and paying invoices, purchase orders, and payables. This position also works closely with service vendors to ensure proper administration of funds.


Essential Duties and Responsibilities:

  • Process financial transactions such as purchase orders, vendor payments, direct deposits, petty cash, credit authorizations, invoices, payables, etc.
  • Enter routine, technical, and specialized data into the department’s financial database.
  • Compose letters, memos, and emails from rough drafts, notes, and oral instructions.
  • Prepare reports, documents, presentations, etc.
  • Prepare, sort, prioritize, and distribute incoming and outgoing mail.
  • Gather, interpret, and explain information regarding departmental financial policies and procedures.
  • Provide information to internal and external customers via phone, email, or in-person.
  • Receive and follow up on phone calls/other communication from internal and external customers.
  • Maintain departmental filing system to include sorting, verifying, filing, and retrieving department office documentation.
  • Ensure compliance of procedural and operational guidelines within established timeframes.
  • Perform other related duties as assigned.

City of Richmond Department of Social Services employees may be required to work during times of declared emergencies.


Qualifications:

  • Considerable knowledge and experience with software such as Microsoft Word, Excel, and Outlook.
  • Administrative and clerical procedures, business principles, and managing files and records, and designing forms.
  • Demonstrated skills in entering data accurately; maintaining confidentiality; utilizing critical thinking and analytical skills to solve problems and demonstrating excellent customer service.
  • Demonstrated ability to follow established procedures; work independently with little supervision; use sound judgement and decision-making; attention to detail and prioritize multiple responsibilities.

Minimum Training and Experience:

  • High School Diploma or GED.
  • Three years of related clerical or office support experience.
  • An equivalent combination of training and experience (as approved by the department) may be used to meet the minimum qualifications of the classification.

Licensing, Certifications, and/or Other Special Requirements:

  • A Notary Public designation may be required for some assignments.

Preferred Qualifications:

  • Associate's or bachelor’s degree in Business-related field and three (3) or more years of relevant experience.
  • Strong Microsoft Outlook, Word, and Excel experience.
  • Customer Service and Data entry skills a plus.
  • Must possess the ability to think strategically, manage time effectively, multi-task and problem solve.
  • Demonstrated skills with basic accounting functions Accounts Receivable (A/R) and Accounts Payable (A/P).
