The Administrative Assistant will support the management of the day-to-day operations of the City of Richmond’s PRCF Division of Park Operations & Cemeteries, the Divisions Community Engagement and Volunteers initiatives, and Special Events. This position will also be responsible for coordinating an internal Advisory Committee which will include support agencies such as the Office of Community Wealth Building, Social Services, the Sheriff’s Department, and other interested community groups that may offer support and resources that enhance the Divisions ability to manage and maintain our scope of responsibility for the Workforce Development Program. This position will support the administrative functions and objectives of the Division and assist with ensuring the overall work performance and customer service goals meet the established standards. This position will be responsible for building and maintaining a healthy working relationship with the various Friends of Groups and volunteers that support the maintenance and stewardship efforts of the Division.


Duties and Responsibilities

  • Contributing to the development and implementation of necessary policies and procedures across the division and ensuring adherence to acceptable industry standards
  • Identifying, determining, and planning for Divisional trainings and workshops
  • Acting as liaison and point of contact for the Division with Friends Of Groups, Volunteers, and other Civic agencies
  • Coordinating and managing volunteer and community events
  • Assisting with budget management and preparation
  • Determining key performance indicators for measuring the support needed, progress and overall success of workforce development, volunteer projects and special events
  • Developing and implementing strategies to incorporate a focus on Workforce Program fulfillment and operational and performance excellence
  • Providing updates on industry best practices, challenges, or changes in strategies or priorities for the Parks Division
  • Identifying funding and grant opportunities for the Division
  • Conducting program performance evaluations and reporting on program outcomes
  • Communicating with other City Departments and Civic Agencies to ensure successful coordination of project and event collaboration

Qualifications

  • Bachelor's degree in planning, public administration, environmental science, public policy, business or field related to assignment
  • Four years of professional experience in an area related to assignment
  • An equivalent combination of training and experience (as approved by the department) may be used to meet the minimum qualifications of the classification
  • Preferred experience: Master’s Degree in related field

Knowledge, Skills, and Abilities

  • Knowledge of Analysis and reporting of data
  • Background in planning, policy, land use, environment, equity, and/or project management
  • Ordinances, government regulations, agency rules, and the legislative process
  • Skills should include:
    • Analyzing complex issues
    • Communicating with various internal and external departments and organizations
    • Drafting and revising documents and reports
    • Managing multiple priorities and deadlines
    • Preparing forecasts, reports, analyses for special projects
    • Navigating city processes
    • Oral and written communication
  • Also requires the ability to be:
    • Adaptable: Make decisions; Multi-task; Problem solve; and, work in teams
