The City of Richmond Department of Finance is actively seeking a highly qualified candidate for the position of Executive Assistant. In this role, the incumbent will provide executive-level administrative support, demonstrating the ability to discern appropriate actions of response and method of follow-through to applicable personnel.
Key Responsibilities:
- Responding to inquiries in person, via telephone, or email, and directing constituents to the appropriate personnel.
- Appropriately handling sensitive and confidential material and information received from constituents and staff.
- Managing complex calendars and appointments.
- Arranging departmental meetings, programs, events, or conferences, including associated logistics.
- Preparing and maintaining a variety of department-specific reports, databases, and presentations.
- Composing original correspondence on behalf of the Director of Finance, such as memos, letters, flyers, newsletters, etc.
- Coordinating work for special projects.
- Researching and compiling information and data and appropriately entering data into various computer systems and programs.
- Summarizing data for presentations, including preparing graphs and charts.
- Maintaining and controlling the flow of various departmental records.
- Ordering and maintaining the inventory for office supplies and equipment.
- Performing other related duties as assigned and required.
Qualifications:
Considerable knowledge of administration and assisting the executive of the Finance department in daily schedules, tasks, and other projects. Skills in effective communication (verbal, written, and nonverbal), exceptional organization and attention to detail, technology proficiency, organization, communication, and time-management. Ability to handle multiple schedules, utilize different software for record-keeping, and implement strategies for effective communication.
Minimum Qualifications:
- Bachelor's degree or education and training equivalent to four years of college education in office management, business administration, or public administration, or a combination of experience and training equivalent to a Bachelor's Degree.
- Requires four years of experience. An equivalent combination of training and experience may be used to meet the minimum qualifications.
- Requires a Driver's License with a clear driving record in the past five years. No special certification or license required.
- Preferred Qualifications: Demonstrated and advanced experience using Microsoft Outlook to schedule meetings. Demonstrated ability to multitask, prioritize tasks, and demonstrate exceptional dependability. Excellent verbal and written communication skills using proper grammar and punctuation.
