Description

The Office of Sustainability is seeking highly motivated and self-directing candidates to fill the role of Executive Assistant, Senior. This position provides clerical and office support activities, and administrative coordination to the Director of Sustainability by supporting all aspects of their daily work routine.

The Incumbent will provide a variety of advanced executive administrative support and work may include screening calls, responding to questions, or referring callers; handling sensitive and confidential issues and customer complaints; managing complex calendars and appointments; arranging departmental meetings, programs, events, or conferences, including all logistics; preparing and maintaining a variety of department-specific reports, databases, and presentations; assisting with budget development and monitoring expenditures and transactions; composing original correspondence on behalf of the executive or executive leadership team; processing invoices, preparing requisitions, other financial support activities; coordinating work for special projects; researching and compiling information and data; performing or overseeing data entry; summarizing data for presentations, including preparing graphs and charts; maintaining or overseeing the maintenance of a variety of department records; and performing miscellaneous clerical duties as required.

Duties include but are not limited to

 

  • Schedules appointments and individual and group meetings for senior leadership and prepares weekly scheduling calendars and notebooks.
  • Provides advanced administrative support including making travel arrangement, coordinating schedules, screening phone calls, front desk coverage, greeting guests, sorting and distributing mail, recording minutes, transcribing notes, ordering supplies, and managing petty cash.
  • Drafts correspondence. Prepares and maintains reports, documents, presentations, and databases as needed by senior leadership.
  • Assists with financial projects including budget development, processing invoices, and monitoring transactions.
  • Additional duties as assigned such as designing flyers, managing inventory, preparing requisitions, coordinating on special projects, monitoring website, and serving as a back-up for various boards and groups.

 

Qualifications, Special Certifications and Licenses

 

MINIMUM TRAINING AND EXPERIENCE:

  • Associate's degree in a related field such as business administration. 
  • Two years of advanced administrative support, customer service, and paraprofessional analytical work, preferably with experience supporting top executives.
  • An equivalent combination of training and experience (as approved by the department) may be used to meet the minimum qualifications of the classification.

In terms of the physical strength to perform the essential duties, this classification is considered to be sedentary (exerting up to 10 pounds of force occasionally, and a negligible amount of force frequently or constantly to move objects), but may differ based on area of focus. The working conditions may contain environmental hazards, depending on area of focus.
