The City of Richmond Office of Community Wealth Building is seeking a friendly and experienced candidate to fill an Executive Assistant position. The selected candidate will support the Department Director with day-to-day administrative tasks. 

Duties include but are not limited to:
  • Schedules appointments and individual and group meetings for senior leadership and prepares weekly scheduling calendars and notebooks.
  • Provides advanced administrative support including screening phone calls, front desk coverage, greeting guests, sorting and distributing mail, recording minutes, transcribing notes, ordering supplies, and managing petty cash.
  • Drafts correspondence pertaining to routine inquiries for senior leadership.
  • Prepares and maintains reports, documents, presentations, and databases as needed by senior leadership. 
  • Assists with financial projects including budget development, processing invoices, and monitoring transactions.
  • Additional duties as assigned at the local level such as designing flyers, managing inventory, preparing requisitions, coordinating on special projects, monitoring website, and serving as a back-up for various boards and groups. 
Qualifications, Special Certifications and Licenses 
  • Considerable knowledge in software such as Microsoft Office Suite, RAPIDS, etc.
  • General knowledge of mathematics and accounting principles. 
  • Knowledge of standard office equipment such as computers, telephones, copiers, fax machines, scanners, presentation easels, A/V equipment, and podium. 
  • General knowledge of City rules, legal codes, and court procedures; and an excellent grasp of the English language and grammar. 
  • Demonstrated skills in preparing documents for workshops, conferences, and meetings; customer service skills; and organizing files in a clear manner.
  • Coordinating and managing multiple schedules at once; oral and written communication; and reconciling payment discrepancies. 
  • Demonstrated abilities to research information; think critically to solve problems; work independently; pay attention to detail; work efficiently in a fast-paced environment and to multi-task. 
  • High School Diploma or GED Two years of advanced administrative support, customer service, and paraprofessional analytical work, preferably with experience supporting top executives.
