Description

The Office of Elections employs a Facilities Coordinator who will be supervised by and accountable to the Election Operations & Manager. The Election Services and Operations Manager sets the overall objectives. The Facilities Coordinator is responsible for planning and carrying out the assignment; resolving most of the conflicts which arise; and coordinating the work with others. The Facilities Coordinator keeps staff informed of progress and potentially controversial matters. Completed work is reviewed from an overall standpoint in terms of feasibility, compatibility with other work, and effectiveness in meeting expected results. Manage the operation and maintenance of the Election Office’s infrastructure and related services; performs related administrative duties.

The Facilities Coordinator will collaborate with the Election Operations & Services Manager, Deputy Director, and Director, to ensure the smooth operation and maintenance of buildings used by the Elections office. This will primarily entail 2134 West Laburnum Avenue and its adjacent areas, but could also include additional buildings the election office utilizes including early voting locations and polling places.  Oversees various aspects like maintenance, repairs, safety, and security, which ensures a comfortable and efficient working for environment for election staff, visitors and the public.

**NOTE: This is a Part Time position.

Duties include but are not limited to

 

  • Maintenance and Repairs: Coordinate and schedule maintenance activities, handle repairs, and manage vendors for building upkeep

  • Safety and Security: Ensure a safe environment by managing security systems, emergency plans and addressing safety concerns

  • Space Management: Organize and maintain the interior of the facility, including managing office supplies and space allocation

  • Vendor Management: Coordinate with external vendors for services like cleaning, landscaping and equipment maintenance

  • Procurement: Purchases goods and services and to help ensure and productive environment for the office and the public

  • Communication: Act as a point of contact for election staff and workers, addressing their concerns, and communicating relevant information

  • Compliance: helping ensure adherence to safety regulations and building codes.

 

Additional Functions: Perform other related functions as required

 

Qualifications, Special Certifications and Licenses

 

KNOWLEDGE, SKILLS AND ABILITY

TYPICAL KNOWLEDGE, SKILLS, AND ABILITIES: These are a representative sample; position assignments may vary.

Knowledge (some combination of the following):

  • Federal, state and local rules pertaining to safety regulations and building codes

  • English grammar, spelling and punctuation

  • General office equipment and filing systems

  • Office routines and procedures sufficient, for example, to receive and refer phone calls and visitors to staff members and to answer questions and provide information

Skills (some combination of the following):

  • Operating a computer terminal, and a calculator

  • Organizing work

Abilities (some combination of the following):

  • Learn the function and mission of various parts of the election office
  • Understand and follow detailed verbal and written directions
  • Maintain clerical records and prepare reports from such records
  • Make decisions in accordance with laws, ordinance, regulations and established policies
  • Type from clear copy or rough at an average rate of speed with a high degree of quality
  • Exercise tact and courtesy
  • Work well with others
  • Work under pressure; and
  • Supervise and motivate others

MINIMUM TRAINING AND EXPERIENCE:

  • Bachelor’s degree from an accredited university in related field; or an equivalent combination of education or experience required
  • Minimum of two (2) years related experience


LICENSING, CERTIFICATIONS, and/or OTHER SPECIAL REQUIREMENTS:

  • Must possess and maintain valid driver’s license
  • Must be able to successfully pass a criminal background investigation
  • May be required to provide their own transportation for travel between various city offices, departments, and vendor locations.
  • Working hours are generally from 8:30 a.m. to 5:00 p.m., Monday through Friday, but may vary with the needs of the City, including during elections time. In the event of serious infrastructure or related service problems, additional hours may be required.
