The Virginia Museum of Fine Arts (VMFA) is seeking a dynamic and energetic Human Resources Coordinator. Reporting to the Senior HR Business Partner, the HR Coordinator (HRC) will help organize and carry out all HR department administrative projects and processes. The HRC will assist the HR Client Services team in fulfilling various necessary HR tasks, including support for recruitment, compensation and classification, payroll, and compliance efforts.


Key Responsibilities:
  • Guest Services: Serves as the first point of contact for all guests who call or visit the HR department. Answers inquiries and directs guests to the appropriate HR representative.
  • Scheduling: Coordinates and maintains office calendar for room/space scheduling, including the Robinson House conference room and training room.
  • Meeting Support: Assists with preparation and assembly of meeting materials, handles meeting note-taking, and distributes notes to participants.
  • Office Management: Orders and manages HR memberships/subscriptions, handles general office functions and events, oversees office environment, orders supplies and equipment, and initiates POs in eVA.
  • Budget Tracking: Tracks expenditures, reviews budgets, and maintains invoices and receipts.
  • Event Coordination: Provides administrative support for meetings and HR training sessions, including tracking invitations, compiling agendas, and preparing follow-up materials.
  • Document Preparation: Prepares correspondence, reports, spreadsheets, and other documentation.
  • Administrative Support: Provides team administrative support, including preparing employment confirmation letters, faculty contracts, and other recruitment documentation.
  • New Hire Coordination: Electronically maintains New Hire Paperwork (NHP) forms and updates as needed. Coordinates NHP processing with Jr. HR Client Partner and schedules New Employee Orientation (NEO) sessions.
  • Recruitment and Hiring: Coordinates hiring events, background check processing, and billing verification. Completes Forms I-9, verifies documentation, and maintains I-9 files.
  • Contract Management: Coordinates adjunct faculty contract renewals and prepares confirmation memos and contracts.
  • Separation Processing: Assists in employee separations, manages personnel files, and coordinates file storage and retrieval.
  • Volunteer Support: Provides administrative support to the Sr. Program Manager of Volunteers, Internships, and Community Service as needed.
  • Employment Verifications: Processes all employment verifications and VEC unemployment verification requests.
  • Cross-Training: Cross-trains with Jr. HR Client Partner for backup coverage.
  • Other Duties: Takes on cardinal project roles and other duties as assigned.

Minimum Qualifications:
  • Customer Service: Must be comfortable working in a highly visible, front-facing role. Excellent verbal and written communication skills, and interpersonal skills.
  • Organizational Skills: Must possess excellent organizational skills, attention to detail, and the ability to multitask effectively.
  • HR Knowledge: Working understanding of human resource principles, practices, and procedures.
  • Time Management: Proven ability to meet deadlines and function well in high-paced, stressful situations. Must be flexible and adaptable.
  • Technical Skills: Highly proficient with Microsoft Office Suite or related software.
Additional Considerations:
  • HRIS Experience: Experience using HR software and HRIS (Human Resource Information System) databases.
  • Education: High School Diploma or equivalent; preference for candidates pursuing a degree in Human Resources or a related field.
  • Previous Experience: Prior administrative support or coordinator experience.
