The Virginia Museum of Fine Arts (VMFA) is seeking an organized and proactive candidate to fill the position of Collections Project Manager. The successful applicant will collaborate with curators, designers, and other museum professionals in the development and installation of temporary and permanent displays at the museum. Key responsibilities of the position include scheduling projects and installations, and ensuring stakeholder information is up to date.


The Collections Project Manager facilitates institutional communication with regular meetings and work sessions among departments, as well as leads the coordination of the annual planning process for collection-based activity, including budgeting and scheduling, and ensures projects are completed within deadlines. Duties also include collection-based exhibition projects organized for travel to Statewide partners, and the position actively reviews and recommends additional opportunities.


This position is responsible for actively updating and monitoring VMFA’s online project management system for permanent collection and operational projects, serving as an account administrator. Supports the department as needed with various or unforeseen non-curatorial projects or tasks, where Exhibition Planning plays a role.


Minimum Qualifications:

  • High attention to detail regarding communication, information sharing, and coordination among all departments involved in creating and producing high-quality displays; requires a proactive, self-starter with project management skills.
  • Demonstrated flexibility in addressing projects of varied scale and roles, managing each with the appropriate level of guidance and oversight.
  • Ability to organize, lead, and manage the work of others to accomplish broad project goals; to analyze and solve problems; and to communicate effectively, both orally and in writing.
  • Working knowledge of budget management and tracking, creating and adhering to definite timelines, proactively leading to determine potential conflicts with project trajectory, managing vendor expectations, and communicating internally to all project staff on project status and action items.

Additional Considerations:

  • Specialized training typically gained through graduation from a college or university with major coursework in industrial design, fine or commercial arts, or a related field.
  • Project management or administrative coordination/support experience in an educational setting is a plus.
