VCU’s Office of Medical Philanthropy is looking to hire a Stewardship Assistant to assist the Medical Philanthropy stewardship team on a variety of tasks and provide general administrative support to a large, fast-paced fundraising and external relations team. This position is well-suited for those with an interest/experience in nonprofit management, public administration, fundraising, development, communications, stewardship, special events and alumni relations. The Stewardship Assistant will interface with donors, alumni and executive level administrators, so strong writing and interpersonal communications skills as well as sound professional judgment and discretion are essential. The incumbent must closely adhere to the university’s policy on data access and confidentiality. The candidate will work to a high standard, exhibit a positive attitude, and show exemplary work ethic and professionalism while also working to ensure that assignments are completed accurately and within deadline.
Job Duties and Responsibilities
- Provide general administrative support to the team including planning, coordinating and prioritizing multiple simultaneous projects
- Complete stewardship and communications tasks
- Assist in the planning and coordination of events as assigned
- Compose and manage correspondence
- Schedule and manage meetings and related logistics, develop agendas
- Pull, update and manage prospect and donor lists
- Update and manage information contained in VCU’s alumni and donor database
- Develop, update and maintain office process documentation
- Support and work in the office’s project management software
- Bachelor’s degree or equivalent training and experience
- Proficient with technology, specifically with the Zoom Meeting platform
- Proficient using Microsoft Office products, in particular Microsoft Word, Excel and Outlook (email) and G-Suite and Google Drive
- Excellent written and oral communication skills
- Ability to maintain consistent work schedule and to adhere to the standards of professional conduct expected of this office
- Sound personal judgment, discretion and the ability to work with limited supervision Preferred Qualifications:
- 1 year of administrative/project management experience in a professional office environment preferred
- 1 year of demonstrated excellent customer service and multi-tasking skills
- Demonstrated experience working in and fostering a diverse faculty, staff and student environment or commitment to do so as a university professional at VCU
- Experience developing and writing professional communications as well as exceptional oral communications skills and phone etiquette
- Previous experience in a higher education environment or experience in a fundraising, marketing or external relations setting strongly preferred
