The Office of Sustainability is currently seeking a highly motivated candidate for the position of Sustainability Grant Administrator. 


This administrative and technical position supports the City's sustainability, resilience, and equity efforts through the successful administration of grants and contracts for the Office of Sustainability. 


This role provides administration for the grants process throughout all stages including receiving, assessing, tracking, payment/check requests, documenting all inquiries and/or proposals; assuring that submitted documentation meets all legal requirements; maintains accurate and timely records of grant-making and other programmatic activities; and develops and transmits reports as required.


The incumbent negotiates, administers, extends, terminates, and renegotiates documentation regarding Federal, State, and other grants or grant contracts. This includes researching and interpreting relevant regulations, guidelines, standards, and budgets. This person will provide all logistical and clerical duties to maintain and track grant and contract performance and budgets.


Duties include but are not limited to: 


  • Analyzes and evaluates contract and grant budgets for correct calculation of expenditure categories such as salaries, percent of effort, salary adjustment increases, fringe benefits, indirect costs, materials, and equipment; maintains documentation for all grant expenditures.
  • Prepares required documentation, obtains official signatures, and recommends approval or rejection of deviations from specifications. 
  • Research appropriate federal, state, and local requirements to facilitate compliance. 
  • Coordinates receipt of awards and contract documentation; maintains proposal and funding records, and prepares scheduled and special reports, studies, and analyses in collaboration with other Departments including the City Attorney's Office.
  •  Coordinates, schedules, and leads meeting across Departments and with various community stakeholders to ensure program compliance.

Qualifications, Special Certifications and Licenses 


MINIMUM TRAINING AND EXPERIENCE: 


  • Bachelor's degree in business/public administration or field related to assignment 
  • Two years of journey-level professional experience in area related to assignment, such as program/project management or management/policy/financial analysis 
  • An equivalent combination of training and experience (as approved by the department) may be used to meet the minimum qualifications of the classification 


KNOWLEDGE, SKILLS, AND ABILITIES: 


Knowledge (some combination of the following): 

  • Knowledge of grant funding policies and procedures and applicable local, state, federal and university regulations. 
  • Computer programs including Microsoft Office Suite 
  • Background in department of focus 
  • Electronic databases and related software applications in area of focus 
  • English language, including strong oral and written communications skills
  • Ordinances, government regulations, agency rules, and the legislative process 
  • Principles for providing customer service, including meeting quality standard for services and customer satisfaction Strong research practices and procedures

Skills (some combination of the following): 

  • Analyzing and aggregating data for complex issues 
  • Analyzing and interpreting manuals and operating procedures 
  • Communicating with various internal and external departments 
  • Communicating results of analyses and recommendations professionally and effectively with senior management and peers 
  • Drafting and revising documents 
  • Managing program in focus area Performing various administrative and clerical procedures such as managing files and records, designing forms, and other office procedures and terminology 
  • Serving as department liaison 
  • Organizing, records maintenance, and coordinating skills. 
  • Analyze budgetary line items for compliance with budget guidelines. 
  • Supporting various activities in area of focus 
  • Oral and written communication
